Bookkeeping for Trade and Service Businesses

Books closed every month, reconciled to the bank, and built so you can see profit by job, not just a balance. The same books feed the tax plan and the returns, so nothing is rebuilt in April. Starting at $750 per month, bookkeeping included.

What is included

What does bookkeeping include for a trade business?

Every account reconciled monthly, income and costs tracked by job, payroll and subcontractor payments recorded so the 1099s write themselves, and a set of statements you can read in five minutes. In practice:

Hand writing figures next to a calculator and printed financial reports

Why does a roofer’s profit look wrong most months?

Because deposits and materials land in different months than the work, and generic bookkeeping records them when the money moves. One example:

A Tampa roofing company takes a $9,000 deposit in June on a $30,000 job, buys $11,000 of shingles in July, and finishes and collects the balance in August. Booked by cash, June shows a $9,000 profit, July shows an $11,000 loss, and August looks like the best month of the year. None of those is true. Booked properly, the deposit sits as a customer liability until the job is earned, the shingles go to that job’s cost, and August shows the real margin on the job: about $19,000 before labor. That is the number the owner needs to price the next roof, and it is the number the estimated tax payment should be based on, not a June profit that still has to be earned.

My books are two years behind. Where do we start?

With the bank statements, not the shoebox. We rebuild each month from bank, card, and payroll records, reconcile it, and move to the next. Receipts fill in the gaps for anything the statements do not explain. Most two-year cleanups are done within a few weeks of getting access, and the returns for those years follow straight from the rebuilt books. From then on the books close monthly and never fall behind again.

Do I have to change software?

No, unless what you have is the problem. We work in QuickBooks Online, Gusto for payroll, and Ramp for cards and expenses, because the three connect and the books stay current without anyone typing. If you are on QuickBooks Desktop or a spreadsheet, we talk about the move on the call. Your field software, whether it is Jobber, Housecall Pro, or ServiceTitan, keeps doing what it does. We connect to it or reconcile against it.

What does bookkeeping cost?

It is inside the flat monthly fee, which starts at $750 per month and includes tax planning and both returns. The number depends on transaction volume and how far behind the books are, and it is set in writing after the first call. Catch-up work is quoted separately and once. Bookkeeping is the foundation of the full accounting function we run for trade businesses.

QUESTIONS OWNERS ASK

Questions owners ask about bookkeeping

How often will I get statements?

Every month, once the books are closed, in a format built to be read in five minutes: profit and loss, balance sheet, and a short note on anything that moved.

Yes. Materials, subs, and labor are coded to the job in QuickBooks Online, so you see the margin on each one and on each type of work.

Ramp captures card receipts at the point of sale. For everything else, a photo to a shared folder is enough. We match them to the transactions.

Yes. Reconciled monthly books with job-level detail are exactly what a lender or a buyer asks for, and having them ready is often the difference in the price or the rate.

Yes. Because subcontractor payments are tracked all year, the 1099-NECs are prepared from the books and sent by the January deadline without a scramble.
