Business Tax Services for Trade and Service Companies

The whole accounting and tax function for a business that runs crews and trucks: books, payroll filings, sales tax, the tangible return, the annual report, and both tax returns, from one team under one monthly fee. Starting at $750 per month. Nothing falls between vendors because there is only one.

What is included in business tax services?

Everything the business has to file or track to stay right with the IRS, the State of Florida, and the county, run as one calendar:

What does a year of compliance look like for a Tampa HVAC company?

Busier than most owners realize, which is why deadlines slip. Take a six-employee HVAC company in Tampa:

January: W-2s to the crew and 1099-NECs to the subs by the end of the month, fourth-quarter Form 941 and RT-6. February and March: the S corporation return by March 16. April: the DR-405 for the trucks, tools, and shop equipment by the 1st, the owners’ personal returns and the first estimate by the 15th, plus the first-quarter 941 and RT-6. May: the Sunbiz annual report by the 1st, with a $138.75 fee for an LLC and a $400 late penalty the day after. June and September: estimates. July and October: 941 and RT-6 again. Every month in between: the DR-15 sales tax return, because HVAC parts sold to customers are taxable in Florida even when the labor to install them is not. Miss one and the penalties compound. Hand the calendar to one team and the owner reads about it in a monthly summary instead of a notice.

Does my trade business owe Florida sales tax?

Usually on the materials, sometimes on the service, and the difference matters. A contractor improving real property, a roofer, a plumber, an electrician, pays sales tax when buying the materials and does not charge the customer tax on a lump-sum job. Nonresidential cleaning and nonresidential pest control are taxable services in Florida, so those businesses collect from commercial customers and file. HVAC and appliance repair sits in between: parts taxable, labor on real property not. Getting the category wrong in either direction costs money, and the Department of Revenue audits trades for exactly this.

When does a trade business need workers’ compensation coverage?

In the construction trades, with the first employee. Outside construction, at four or more. Florida counts owners in some structures and lets officers exempt themselves in others, and the classification of every worker feeds the premium. The bookkeeping has to match what the policy says, because the audit at renewal compares them. We keep payroll and subcontractor records in the shape the carrier asks for.

What does the full service cost?

One flat monthly fee, starting at $750 per month, set after the first call based on the size of the business and the state of the books, and put in writing before work starts. No hourly meter, no per-form charges, no separate bookkeeper and preparer sending separate bills. See everything the fee covers.

QUESTIONS OWNERS ASK

Questions owners ask about business tax services

Do you run payroll or just file the payroll taxes?

We set up and manage payroll through Gusto and handle the filings that come from it. You approve hours and the rest runs on schedule.

Yes. We collect the prior filings, reconcile the books to date, and pick up the calendar from the next deadline. Most handovers take one billing cycle.

Common, and fixable. The first return establishes the account with the county. If your equipment is under the $25,000 exemption after that, the county may waive future filings. We file it and tell you where you stand.

Yes. It is on the calendar for May 1 every year, because the $400 late fee is the most avoidable penalty in Florida.

Very little once the systems are connected. Bank, card, and payroll feed the books automatically. We ask you about the handful of transactions that need a decision, and you get a summary you can read in five minutes.
