How far behind is too far?

No file is too far behind. We start with the year that has a return due and work forward to today.

Owners call us after a bookkeeper quits, after a busy season, or after a lender asks for numbers. The fix is the same each time: statements in, books rebuilt, numbers you can file on.

Example: A painting contractor stopped posting two years ago. That is 24 months of books. We catch up the older year first, because its return comes due first.

What does catch-up bookkeeping include?

Four things, in this order.

  1. Reconcile every account. Each bank and card account matches its statement, month by month.
  2. Code every transaction. Every deposit and expense lands in the right category.
  3. Fix the open items. Duplicates, uncategorized entries, deposits with no invoice, and loans posted as expenses get corrected.
  4. Get to tax-ready. The profit and loss and balance sheet are ready to build a return on.

Example: A plumbing company’s QuickBooks Online file shows 410 uncategorized transactions. Its truck loan payment sits in expenses each month. We code the 410, and split each truck payment between interest and loan principal.

How much does catch-up bookkeeping cost?

You get the price in writing before work starts.

Example: A cleaning company is 4 months behind on 1 bank account and 1 card. A pool company is 2 years behind on 3 bank accounts and 4 cards. The pool company’s job prices higher: more months, more accounts to reconcile. We quote both on the call.

How long does catch-up take?

Typically 1 to 2 weeks. The clock starts once we have bank access and statements for every month behind.

Missing statements are the usual delay. Your bank can provide old ones, and we tell you exactly which months we need.

Example: An HVAC company sends 6 months of statements for 3 accounts on a Monday. We start that day. A job that size typically finishes inside the 1 to 2 week window.

What do you need to send?

  • Bank and card statements for every month behind.
  • A QuickBooks Online invite, or your Desktop file or spreadsheets.
  • Loan statements for trucks, equipment, and lines of credit.
  • A list of trucks and equipment bought or sold in the period.
  • Payroll reports for the period, if you ran payroll.
  • The last tax return you filed.

What if I missed a filing or got an IRS notice?

Catch-up gives you the numbers a late return needs. The late return and the notice are separate work. Our tax consulting service handles them.

Most IRS notices give a date to respond. Send us the notice when you book the call, so we see the date.

Example: An owner gets a notice for a business return that was never filed. We catch up the books for that year first. The return gets built from real numbers, not estimates.

What happens after the catch-up?

You move onto a plan. Bookkeeping, tax preparation, and planning on one flat fee. Plans start at $750 per month.

What does catch-up look like for a landscaping company?

Illustration only. The numbers are made up. A landscaping company runs as an S corporation. The owner stopped reconciling 14 months ago. The S corporation return cannot be filed until the books are right.

  1. The call and the quote. The owner tells Greg how far back it goes and which accounts are involved. The price comes in writing before work starts.
  2. The catch-up. The owner sends statements for 2 bank accounts and 2 cards and gives us bank access. We reconcile all 14 months, code the mowers and trailers as equipment, and fix a year of fuel charges split across two categories. The work typically takes 1 to 2 weeks from there.
  3. The return. The older year is tax-ready first, so its S corporation return gets prepared from closed books.
  4. The plan. The company moves onto a plan, and its books close every quarter from then on.

A calendar-year S corporation return is due March 15. The IRS charges a late-filing penalty for each shareholder, for each month the return is late, up to 12 months. See more for landscapers.
